Link PMS Profile to Account - Manual
To manually associate or link a PMS profile to an existing B2B account, follow the steps below:
- In the PMS Profiles module, search for and view the PMS profile record.
- Select the pencil icon next to the Account field.
- You can type the name of the B2B sales account and select from the dynamic list.
- You have the option to select the arrow to the right of the Accounts field and search for the account.
- Manually search through the list or select Basic Filter to expand and enter information into the fields and select search.
Note
When searching for a specific account, the more search criteria, the more refined your results. If you only prefer to search accounts that you own, select the Assigned to filter.
- Once the appropriate account is located and selected the Account name will appear in the Account field.
- If there are matching PMS profile records that have not already been linked to a B2B account, a message displays asking if you would like to link all other matched PMS profiles to the selected account.
Note
If you answer “Yes” to this message, only those profiles not already linked to an account will also be linked. If you answer “No”, only this PMS profile is linked to the selected B2B account. This saves a great deal of time managing PMS profiles and associating them with B2B accounts. However, eInsight Sales makes no assumptions that all profiles that are matched should be linked with the same B2B account.
- Select save to complete your changes.
If you answered “Yes” to link other PMS profiles to the selected B2B account, notice those accounts now display that B2B account name in the matching PMS Profile subpanel.
Again, if you answered “Yes” and any of the matched PMS profile were already associated with another account, they remain associated with their account. To update the linked B2B account, access that profile directly and edit the associated account. If you answered “No”, the unlinked PMS profiles still do not display an account name.
Note
When PMS profiles are linked to B2B accounts, a message is delivered to eInsight CRM regarding the profile-to-account link. eInsight CRM keeps record of all profile-to-account links for reporting purposes in PowerBI.
Link PMS Profile to Account - Automatic
To reduce even more time managing PMS profiles and their associations to B2B accounts, eInsight Sales automatically links PMS profiles to B2B accounts using the same match criteria and match rules used to match profiles to profiles.
For example, let’s assume our organization has the following match rules defined:
- Rule 1: Match if the data on two or more profiles is exact for TYPE and IATA
- Rule 2: Match if the data on two or more profiles is exact for TYPE, NAME, CITY, ZIP/POSTAL, COUNTRY
- Rule 3: Match if the data on two or more profiles is exact for TYPE, NAME, PHONE
- Rule 4: Match if the data on two or more profiles is exact for TYPE, NAME, EMAIL
The profile-to-account auto-link service prioritizes matches based on the order in which the rules are configured. The first rule (RULE 1) is the first set of criteria the service attempts to match a profile with an account.
If a PMS profile matches the same criteria set in RULE 1 with an existing B2B account, the system automatically links that profile with that B2B account.
If there is no match in criteria between the PMS profile and any existing B2B account, the service moves onto the second rule (RULE 2). If a profile-to-account match is found using that criterion, the profile is automatically linked with the account.
The same service will attempt RULES 3 and 4, in order, if no match is found prior to that.
Note
If the PMS profile cannot be matched and linked to a B2B account using any of the defined match rules, then the profile is NOT automatically linked to an account.
Note
Likewise, even if a PMS profile matches more than one B2B account based on the match rules, it will always automatically link the profile with the first B2B account that satisfies the first match rule.
Note
When PMS profiles are linked to B2B accounts, a message is delivered to eInsight CRM regarding the profile-to-account link. eInsight keeps record of all profile-to-account links for reporting purposes in PowerBI.
Note
Once a PMS profile is linked to a B2B account, that link remains unless the user manually unlinks the account – even if the PMS profile no longer technically matches with the B2B account based on new or changed criteria.
Unlink/Reassign PMS Profile from B2B Account - Manual
If a PMS profile is mistakenly linked to a B2B account, no longer matches the B2B account, or the business from that PMS profile should be represented elsewhere, users can manually unlink B2B accounts on any PMS profile.
To unlink a B2B account from a PMS profile, follow the steps below:
- Search for the PMS profile you want to unlink, select the PMS profile.
- Select the pencil icon next to the Accounts field to edit the record.
- Click the “X” next to the B2B account name to remove the link.
- Select to Save the changes to the PMS profile.
The PMS profile is no longer linked to the B2B account.
Note
PMS profiles must be manually unlinked from B2B accounts. There is no automatic unlinking of profiles from accounts, even if the PMS profile no longer technically matches the B2B account. This logic is deliberate because of the production reporting implications associated with linking or unlinking accounts.
Note
If the PMS profile being unlinked from a B2B account is matched with other PMS profiles also linked to the account, they will NOT also be unlinked. Each PMS profile must manually be unlinked by the user for the same reasons.
Note
Alternately, you may remove the profile-to-account link and select a different account to reassign the profile to a different B2B account.
Note
When a PMS profile is unlinked from a B2B account, a message is sent to eInsight to unlink the profile from the account for production reporting purposes in PowerBI.
