Consent to send emails
Having express consent allows you to send marketing emails indefinitely unless the recipient elects to be unsubscribed from your marketing campaigns. Guestfolio gives you a powerful tool to capture this express consent via our double opt-in email.
When a guest enters their details into your web sign-up form, Guestfolio will send a return email to ask the guest to re-confirm they wish to "opt-in" to receive marketing emails from your hotel. This process is known as "double opt-in" and is necessary to confirm express consent for you to email that guest.
Guestfolio will automatically create a default double opt-in email based on your existing content which will send out if any of the following are true:
- You haven’t created any custom double opt‐in emails.
- You deleted all your double opt‐in emails.
- You don’t have an email set as your “default” double opt-in email.
- None of your custom double opt‐in emails are active.

In addition to the default double opt-in email, Guestfolio also gives you the ability to create custom double opt‐in emails to send to your guests instead of our system generated one. This gives you the ability to add a personal touch to the email, as well as create multiple double opt‐in emails for different languages.
Some benefits of creating a custom double opt-in email are:
- You can personalize the contents.
- You can style the double opt‐in however you like.
- You can use your already configured email templates.
- You can select the language of the email.
- You can have as many emails for as many languages as you like.
- You can select which email is your default double opt‐in email that will act as a fallback when a signup’s language doesn’t match one of your configured double opt‐in emails.
Where to find double opt-in emails
To view, modify or create new double opt-in emails, navigate to Automated Emails > Double Opt-In Emails
On the following screen you will see any previously created double opt-in emails or, if you don't have any, you will see the following message:
If you already have custom double opt‐in emails set up, this is the screen that will list all of them.
Creating a new double opt‐in email
To create a new double opt‐in email, click on “Create new double opt‐in email” in the top right of your screen.
From there you will be brought to the “New double opt‐in email” form.
Before starting, it is important to note the requirements for a double opt‐in email:
- You can only have 1 default double opt‐in email.
- You can only have 1 active double opt‐in email per language.
- Your double opt‐in email must always be active if it is set to default.
- Your double opt‐in email must always have a confirmation link in the HTML and Text fields.
- You are not allowed to include special offers, marketing or promotional material in the contents of your double opt‐in email, or attempt to bribe or trick your guests into confirming their address.
The following fields on the form are editable:
From Name - The name of the sender
From Email - The email address the email will come from
Subject - The email subject line
Language - This controls what language will be used in the email. This means that when a guest signs up through your signup form, they can select what language they want, and if that language matches the language selected on one of your custom double opt‐in emails, they will receive the respective email.
Email Template - You can use your pre-existing automated email templates for your double opt-in email. Just select the template you want to use here.
HTML - This is the content of your email. Use the buttons above the HTML section to alter the formatting, add links or pictures and modify text styles. You will notice that we have already pre‐loaded the HTML field with our standard double opt‐in email content. You can edit the contents but be sure it follows the above guidelines to be considered valid under spam laws.
In the HTML section you can include what is known as "personalizations." You can import a guest's details from your web sign-up form into your double opt‐in emails. You can insert these personalizations by clicking on “Insert Personalization” and inserting whichever tag you like.
# All double opt-in emails must include what is known as a sign-up confirmation link. In the standard, pre-loaded content this is the link behind the "Yes, please subscribe me" button which has a tag of {{ signup.confirm_url }}. This link cannot be removed from the email.
Text Field - This is a plain text version of your double opt-in email that is sent as a backup in case the recipient's email client can't read HTML. You can copy the contents of the HTML section and paste it into the text field. Be sure to also add in any URL links as these wont get copied across.
Note: When you copy content from the HTML version to the text version, the urls will not copy over. You must manually insert any urls included in the HTML version into the text version.
Active? - This controls whether the email will or will not send.
Set this email as the default? - Ticking this box will make this email your 'default' double opt-in email, which will send if no other double opt-in emails are set up or if none of your custom double opt-in emails match the language the guest has selected.
When you have finished the email click on "Create double opt-in email" at the bottom of the page.
Repeat these steps if you would like to create multiple double opt‐in emails for different languages.
If you only have one double opt-in email, it is set to default and active you don't need to do anything else. If you have multiple double opt-in emails in different languages then you will need to modify your web sign-up form code to accept multiple double opt-in emails.
