There are two places in Guestfolio where you can search for guests. This article will outline how to search in both places.
1. Guest reservations - If you are looking for a guest who has a past, present or future reservation this is the best place to search.
2. Newsletters - Can be used to search for people on your subscriber email lists who may not have actually stayed at your hotel.
Guest Reservations
On the dashboard select Guest Reservations and then Guest Reservations again from the menu on the left.
By clicking on the buttons above the reservations you can sort by All, Arriving, Departing, In-house and Future.
To search in greater detail select the "More options" button on the right side of the screen.
This brings up the following search options:
1. Reservation search - Can be used to search by reservation name, number or email address.
2. Check-in between - Used to search for a reservation based on check in date.
3. Status - Switches between active (reserved) and cancelled reservations.
Newsletters
On the dashboard select Newsletters and All subscribers.
Above the list of all subscribers, select the drop down "Search" button
This brings up the following search options:
1. Search - Enter a name or email address to search by.
2. Subscriber list - Narrows the search to only those subscribers on any of your existing subscriber lists.
3. Origin - Search by how the subscriber was imported into Guestfolio:
- Reservation - Subscriber made a reservation at your hotel and their data was transferred via integration with your PMS.
- Web form - Subscriber entered their email address via a newsletter sign up widget on your website.
- Imported file - Subscriber was uploaded into Guestfolio via a .csv file.
- Manual creation - Subscriber profile was created manually in Guestfolio.
- Proof - A test or "Sandbox" reservation created manually to test a system feature.
4. Interest - Brings up a list of all your currently subscriber interests to search by. Will be blank if you have no subscriber interests set up.
5. Status - Can select between the following options:
- Subscribed - Guest's email is active and they will receive communications from Guestfolio.
- Unsubscribed - Guest's email has been removed from Guestfolio at the request of the guest or by hotel staff.
- Bounced - Guest's email is invalid. Can be for a number of reasons: incorrect, inactive, temporarily unavailable etc.
*If you can't find a specific guest that you think should exist in your account, switching between the different Status options above can reveal the guest's profile. That is to say if you search for a guest profile that has been unsubscribed, unless you have the Status button set at "Unsubscribed" the guest profile will not show up.
