B2B Sales is a sales automation solution that is fully integrated in NextGuest CRM. Using B2B Sales you can automate sales processes, support your sales force in their customer negotiations, increase your productivity, and control your sales force. Additionally, B2B Sales combines sales activities with production data from the PMS and provides you with a comprehensive overview of the sales pipeline, sales activities, and realized revenue through corporate accounts and travel agents.

Signing into B2B Sales
- From the desktop of your PC, click the B2B Sales icon.
B2B Sales displays the Login dialog:
B2B Sales automatically defaults your Windows login into the field User Name. - Leave the user name or type in another name and press Tab to proceed to the Password field (or click the Password field with the mouse).
- Type in your password.
- Select Ok to proceed with the login.
B2B Sales displays the menu bar and the icon toolbar. Below you see the list of activities with the activities due today and open and activities from previous days that are still open.
From this screen you can select any of the main options by clicking the respective icon in the icon toolbar or by selecting the corresponding option from the main menu. In addition, you can view and edit the activities recorded for the sales rep.

Agents |
The Agents menu by default displays a list of all active agents. From here, you can manage your travel agent accounts i.e., display agents by status or type, edit agent details including available tab options (such as contacts, sub agents, production, etc.), create new agents, etc. |

Accounts |
The Accounts menu by default displays a list of all active accounts. From here, you can manage all your sales accounts i.e., display accounts by status or type, edit account details including available tab options (such as contacts, PMS accounts, sub accounts, production, etc.), create new accounts, etc. |

Contacts |
The Contacts menu by default displays a list of all active contacts. From here, you can filter the display differently, view and edit contacts, as well as create, view, and edit activities for the contact. |

Activities |
The Activities menu by default displays the list of activities that are due today and open. You can filter the display differently, view, and edit activities. If you want to create a new activity for a contact person, select this contact first, and then click the Activities tab. |

Hotels |
The Hotels menu displays the list of hotels for which you can sell rooms, send leads, and distribute contracts and account details. The Hotels option serves as an information tool from where you can retrieve detailed hotel information, such as address details, number of guest rooms and room types, function space, list of employees, etc. |

B2B Sales interfaces with your email application (Outlook or Lotus Notes). From the Email option you can view and edit your emails and handle them in the context of the Sales operation i.e., you can assign emails to special contacts and display unassigned messages. |

Calendar |
From the Calendar menu you can display the monthly calendar for any future or past period, identify days with activities, view, and edit the activities. |

PMS Profiles |
The PMS Profiles menu displays a list of PMS accounts or PMS agents. PMS profiles are uploaded from the Property Management Systems of all linked hotels and regularly updated. They contain the actual revenue, stay and reservation details pertaining to corresponding sales accounts and so account for the revenue figures displayed on the Production and Reservations tabs of sales accounts. Using the PMS Profiles option you can view all PMS Profiles, assign unassigned PMS profiles to sales accounts and even promote PMS profiles to sales accounts. The advantage here is that you can select more than one profiles at the same time and carry out the required change for all of the selected profiles i.e., promote, assign, etc. For a description of how to promote one or more PMS accounts to Sales accounts, see Assigning PMS accounts to Sales accounts in B2B Sales. |

Back |
Use the Back icon to go back to the last main option (for example the list of accounts, the list of contacts, etc.) and then to the blank B2B Sales main screen. |

Search |
From each main menu option, the Search function opens the Search dialog box, from where you can locate entries or filter the display of entries (i.e., list of accounts, contacts, hotels, activities, etc.) with the help of additional search criteria. |

Refresh |
The Refresh function rewrites the screen and updates it according to any changes that might have taken place since the last screen rewrite. |
|
Select |
Use Select to open an entry i.e., a particular account, contact, hotel, in order to view additional information recorded for this entry. |
|
Edit |
Use Edit to access the edit dialog box for an entry e.g., a selected account, contact, hotel, etc. From the edit dialog box you can modify the details of an entry. If you only see the Select function and Edit is not available in the icon toolbar (or grayed out in the popup menu) you first have to select the entry. |

New |
With the New function you can create a new entry and record the respective details. |
|
Inactive |
Use Inactive to change the status of an entry to inactive when you are no longer working with the account, agent, or contact. |
|
Activate |
This function is only active when you select accounts, agents, or contacts, whose status has been changed to inactive. Use Activate to restore entries if you are working with them again. |
|
Delete |
The Delete icon is available in the Activities menu. Click the icon to delete activity records you no longer need. |
|
Copy |
You can copy one or more activities recorded for a contact and paste them to another contact. This allows you to eliminate manual reentry of the same/similar data. |
