Activities are tasks or reminders for tasks that you need to carry out for a contact by a certain time. In B2B Sales activities are always linked to a contact. Therefore, before adding a new activity you always need to select the contact person first.
Add an activity via the Accounts menu:
- Select the Accounts icon, and select an account.
- Select the Contacts tab.
- Right-click the desired contact and then select New Activity.
B2B Sales displays the Activity dialog box where you can select the required activity type (See below).

- In the Activity dialog box select the required activity type. You can choose between a:
- Word document
- Fax
- Visit
- Phone call
- Other activity type
- Internal email
If you choose the activity types: Word document, Fax, Email, or Internal Email, B2B Sales will open the Template Selection dialog box.
If you choose the activity types: Other Activity, Phone, or Visit, B2B Sales will display several tabs in the Activity dialog box.
Depending on the selected activity type B2B Sales will open varying dialog boxes, let you select template files, default email addresses or fax numbers to accelerate this process.

Letter – B2B Sales opens the letter template selection lets you select the required language and template for your letter (e.g. standard campaign to new customers, cover note for sending a brochure, etc.), and opens Word. Edit the document according to your requirements; the system will automatically fill all merge fields with the details of the contact person, such as the address, salutation, etc.
Fax – B2B Sales opens the fax template selection lets you select the language and required fax template (e.g. standard fax template, fax campaign, etc.), and opens Word. Edit the fax according to your requirements; the system will automatically fill all merge fields with the details of the contact person, such as the fax number, the salutation, etc. In addition, you will be able to send the fax directly from the activity screen (only available with the respective fax interface).
Email – B2B Sales opens the email template selection lets you select the language and required email template (e.g. your standard with company signature), and opens Serenata E-Mail. Fill in the subject line and edit the email according to your requirements. When you close the file, the system will automatically fill all merge fields with the details of the contact person, such as the email address, salutation, etc. Then you can send the email.
Internal Email - B2B Sales opens the email template selection lets you select the language and required email template, and opens Serenata E-Mail. Then you can send the internal email activity. Internal emails are used when you want to inform the Sales management team or some other sales user of a completed or required activity for a specific account and contact.
Other Activity – B2B Sales opens the task screen and defaults Task into the field Subject Type. If required select another activity type, such as Meeting or Contract, for example. Record the details of the task and attach any documents required for this activity.
Phone Call – B2B Sales opens the task screen and defaults Phone Call into the field Subject Type. Record the details of the phone call or the plan for the call and attach any documents that may be required for that call.
Visit – B2B Sales opens the task screen and defaults Visit into the field Subject Type. Record the plans and details for the visit and attach any documents that you may require for extra information.
