Using the Profile Distribution option from the Tools menu you can manage accounts for hotels on a chain-wide level directly from B2B Sales.
Note: This option is only available if it has been activated for the respective hotel group. If not available, this function will be grayed out.
In short, this option allows you to:
- Distribute accounts to all or selected hotels: From the Profile Distribution option you can determine distribution individually for each selected account/agent.
Note: Subsequent changes to accounts/agents/contacts will trigger an automatic redistribution to all subscribed hotels.
- Stop the distribution of an account to a given hotel: This may be helpful, for example, to stop the erroneous distribution of an account/agent to a given hotel in the future.
The Profile Distribution option is only available if the hotel chain also uses the NextGuest CRM Central Profiles module.
Distributing/stop distributing profiles to selected hotels:
- Access the list of accounts and locate the required account.
- Double-click the account to open this record.
- From the Tools menu, select Profile Distribution.
B2B Sales displays the Distribution dialog box.
- To distribute this account profile to required hotels i.e., create a link between this account and selected hotels. Do one of the following:

- If B2B Sales displays the message below, select Yes to remove the link between a sales account and a hotel, select No to abort the operation.
Note: To prevent the loss of important contract data B2B Sales will not let you stop the distribution of an account with active contracts. B2B Sales will display a warning message.
In this case, you can only remove the link between a profile and a hotel by changing the status of the contract to Expired.

Sales Rep |
Prior to installation the hotel chain specifies the amount of information that you can distribute. This usually includes (a) the account address and (b) the contact address. |
Hotel |
All hotels that you have included in the distribution list will receive a standard email notifying them of new accounts. The email recipient is an employee of the hotel whom you have defined as a primary employee in your Error! Unknown document property name application. |
PMS of hotel |
B2B Sales carries out the distribution automatically distributing the profile information of the account to the selected local PMS systems. The new profile is referred to as an HQ owned profile i.e., only the sales rep is allowed to update this profile by distributing new data. |
